1. Service Engagement

Once a project is confirmed, KGN Solutions will provide a detailed scope of work, estimated timelines, and cost structure. All services are rendered based on mutual agreement and documented communication.

All service and support-related interactions must be logged through our official support portal at https://support.kgnsolutions.com
Once launched, this portal will serve as the primary and official channel for all technical requests, updates, and issue resolutions.

2. Quotation Validity

All quotes and proposals shared by KGN Solutions are valid for 15 calendar days from the date of issue. After this period, the estimate may be updated based on scope changes, timelines, or revised service rates.

3. Payment Terms

  1. A 50% advance payment is required to begin any project.

  2. The remaining 50% payment is due once the project is completed and ready for launch.

  3. Payment schedules will be communicated clearly in the invoice or service agreement.

4. Final Payment & Website Launch

  1. Upon project completion and before the final deployment, clients are expected to clear the pending amount within 7 days of the go-live date.

  2. If the payment is not received within this timeframe, KGN Solutions reserves the right to suspend access to the website or related services. Additionally,

  3. A reactivation fee may be applicable for delays exceeding 14 days.

5. Client Communication & Authorization Policy

To maintain clear and accountable communication:

  1. All support requests, content updates, or feature changes must be submitted via our support portal at support.kgnsolutions.com.

  2. At the start of the project, the client must confirm who will be the authorized point(s) of contact for all project communications.

  3. We understand that some clients prefer to communicate personally, while others delegate tasks to team members.

  4. In either case, only the client or explicitly authorized individuals will be considered valid for communication.

  5. Requests from unauthorized third parties will not be accepted, to protect project integrity and avoid confusion.

6. Website Access & Responsibility

Upon project completion, KGN Solutions may provide the client with admin login credentials to access the backend of the website (CMS or custom panel, as applicable).

Once access is granted:

  1. The client is fully responsible for any changes, configurations, or third-party plugin/module installations made by themselves or others using those credentials.

  2. KGN Solutions will not be held liable for any issues, malfunctions, or downtime resulting from such unauthorized or unintended modifications.

  3. We strongly recommend that any technical updates or changes be requested through our official support system to maintain website stability, security, and performance.

7. Revisions and Scope Changes

  1. Minor revisions, as discussed in the original scope, are included at no extra cost.

  2. Any additional features or changes requested outside the defined scope will be considered new work and will be quoted separately.

  3. All change requests must be routed through the support portal for proper review and approval.

8. Client Responsibilities

The client is expected to provide:

  1. Timely content, images, credentials, feedback, and approvals

  2. Responsive communication during project milestones

  3. Clarity in decision-making when multiple stakeholders are involved

Delays in client inputs may impact the overall delivery timeline.

9. Ownership & Intellectual Property

  1. Once full payment is received, the client owns the final deliverables (design, code, content), excluding third-party plugins or stock assets bound by external licenses.

  2. KGN Solutions may feature completed projects in its portfolio or promotional materials, unless otherwise agreed upon in writing.

10. Hosting & Maintenance

  1. Hosting through KGN Solutions includes standard uptime monitoring and support.

  2. For clients using third-party hosting services, we are not liable for hosting outages, data loss, or third-party misconfiguration.

11. Refund Policy

  1. Advance payments are non-refundable once the project has commenced.

  2. Any refund requests are reviewed on a case-by-case basis and are subject to the extent of work completed.

12. Project Termination

Either party may terminate the project by providing written notice. Upon termination:

  1. All completed work up to that point will be billed

  2. All outstanding dues must be cleared before handing over any files/ materials or credentials.

13. Limitation of Liability

While we strive for excellence in all deliverables, KGN Solutions shall not be held responsible for:

  1. Delays caused by client-side inaction

  2. Third-party service interruptions

  3. Post-delivery site issues caused by external edits or unauthorized access
